The Business Manager assists in developing and implementing the Villanova Theatre and Studio Department’s (VTD) performance and departmental operating budgets, in accordance with Villanova’s accounting policies and procedures. These budgets include production, academic, restricted, endowed, and undergraduate student theatre groups (Villanova Student Theatre (VST) and Villanova Student Musical Theatre (VSMT)). This position is responsible for all budget creation and expense tracking of each Theatre performance, including student co-curricular groups. They will manage and coordinate the day-to-day accounting, purchasing, processing, and billing activities, such as credit card handling/reconciliation and payroll processing, deposits, and reimbursements. Additional functions include monthly financial review, analysis, and coordination with the VTD Chairperson. This position also works closely with the finance leadership team in the College of Liberal Arts and Science (CLAS), providing quarterly financial updates as well as a detailed reconciliation of each theater performance. Responsible for providing strategic and analytical support to the VTD leadership team.
The Business Manager will hold strict confidentiality and maintain compliance with all local, state, and federal laws and regulations. They manage the VTD accounting system to include time and attendance, POS, PMS, credit cards and accounting software. They establish and audit internal financial controls and ensure all accounting policies and procedures follow generally accepted accounting practices (GAAP) and the University’s Accounting policies and procedures.
Responsible for creating, directing, maintaining, and reconciling Theatre budgets (operating and VTD), including ensuring adherence to timelines related to the budget process. Enhance budget analysis capabilities utilizing current financial systems (e.g., Banner, Novasis, Concur and Kronos) to prepare accurate and timely monthly financial analysis, journal entries, account reconciliation and variance/analytical analysis.
Collaborate with show directors to manage each production budget separately, with specific allocations provided to costumes, props, etc. Maintain a separate record of costs that are shared for each show.
Provide department chair with budget details per show as requested.
