Position Summary
The Administrative Assistant serves as a key member of the Mainstage Center for the Arts team, providing essential day-to-day administrative and operational support across all programs, events, and office functions. Working closely with the Managing Director and Artistic Director, this role helps ensure smooth communication, accurate recordkeeping, and efficient program operations in a fast-paced performing arts environment.
This position supports students, families, faculty, and staff while assisting with scheduling, registration, front desk operations, financial processing, events, and general office administration.
Primary Responsibilities
- Serve as the main point of contact for students, families, faculty, and patrons via phone, email, and in person
- Manage student attendance, check-in/check-out, enrollment changes, and required documentation
- Support private lesson scheduling and general program communications
- Maintain calendars, scheduling systems, and general office organization
- Provide administrative support including filing, data entry, correspondence, and supply management
- Assist with payment processing, recordkeeping, and coordination with business office procedures
- Support studio classes, rehearsals, performances, camps, and special events
- Assist with front-of-house operations, including house management and box office coverage
- Support Summer Stage and Pumpkin Festival logistics, registration, communications, and on-site needs
- Attend staff meetings and assist with reporting, evaluations, and special projects as assigned
Schedule & Expectations
- Part-time schedule of up to 24 hours per week
- Schedule varies based on programming, performances, and seasonal needs
- Evenings and weekends required during productions and events
- Flexible PTO subject to approval and operational needs
- Organization closed on designated holidays and seasonal breaks
Qualifications
- Strong organizational and communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with basic office systems, scheduling, and data entry
- Customer service experience preferred
- Comfort working with families, students, and community members
- Interest in performing arts, education, or nonprofit work strongly preferred
Compensation
- Salary: $18,000 – $20,000 annually
- Paid semi-monthly on the 15th and last day of each month
- No healthcare benefits included
