The Office Associate provides support for the Development, Marketing, Administration, and Education departments on a rotating basis. We are looking for someone who is detail-oriented, willing to learn, and loves working with people. This position reports to the Office Manager. This is a part-time hourly position, $18-20/hour commensurate with experience. Expected to work in our office in Mt Airy 20 to 25 hours per week with some evenings and weekends.

Responsibilities 

  • Development
    • Maintain fundraising aspects of the PatronManager CRM system as well as identifying and championing various tech solutions that support fundraising goals.
    • Track foundation proposals and reports and supplementary materials to ensure that necessary internal and external deadlines are met for institutional funding.  
    • Support 18-20 events spread throughout the year (external and internal).
  • Marketing
    • Collaborate effectively with staff and clients to devise a strategy and develop print, web, and multimedia communications collateral.
    • Assist in creating, writing, and posting content for websites, e-newsletters, social media, blogs, news releases, media advisories, articles, and web copy.
  • Administration
    • Assist in physical and digital file organization efforts.
    • Manage artist housing, including supervising the cleaning schedule and requesting and scheduling any required maintenance.
  • Education
    • Maintain the database of teachers and administrators in PatronManager and periodically assist in education marketing efforts to this group.
  • Other duties as assigned.

Qualifications  

  • Strong interpersonal skills and ability to deal with a variety of stakeholders and personalities.
  • Knowledge and proficiency in Salesforce/PatronManager. 
  • Relevant experience in office management. 
  • Proficiency in Google Workspace and Microsoft apps (Word, Excel, Publisher). 
  • Organized self-starter with good attention to detail, problem-solving, project management, and analytics. 
  • Ability to handle multiple tasks and projects simultaneously.  
  • Staying cool and focused under pressure, meets deadlines.  
  • Self-motivator who sets and achieves work goals, but who also takes direction and suggestions as appropriate.  
  • Ability to handle confidential information appropriately.
