Eagle Theatre in Hammonton, NJ seeks a Festival Coordinator to support festival events programming during the remainder of the 2022-23 season.  Current programming includes:

  • Hammonton Food Truck Festival Beer Garden, June 10th, 2023
  • NJ Fringe Festival, August 18-20, 2023.

KEY ATTRIBUTES

  • Past experience planning & executing outdoor theatrical or festival events
  • Should possess organizational, creative, and customer service skills to manage complex tasks from concept to completion
  • Strong event management skills, including knowledge of industry best practices, time management, attention to detail, and a clear understanding of the operational needs for large outdoor events
  • Ability to work both independently and with a team while promoting Eagle Theatre’s core values
  • Proficiency in Salesforce or a similar CRM application
  • Proficiency in Microsoft Office suite applications and/or Basecamp

PRIMARY RESPONSIBILITIES

  • Act as primary communications facilitator for all festival contacts including staff, artists, site owners, vendors, volunteers, etc.
  • Assist with artist and vendor contracts
  • Coordinate performance and festival site logistics and management, including all pre-festival and festival day activities
  • Create timelines, project planning documents for communication ease, and distribution documents for all festival parties
  • Assist Managing Director with budget and expense tracking
  • Provide marketing manager with up-to-date information for accurate communications and marketing distribution
  • Track payment schedule for all artist and vendors
  • Prepare layout schematics and load-in/load-out schedules and detailed program plans; conduct event briefings/debriefings, and develop program materials
  • Ensure proper permits and licenses are secured including Town of Hammonton event permits, alcohol licenses, etc.
  • Generate reports as needed to Eagle’s leadership regarding budget, attendance, sales, etc.
  • Act as festival support and be present at all festival events.

This position is a part-time, contract role beginning early March through August 31, 2023.  The festival coordinator will work independently roughly 10-15 hours per week with increased hours in proximity to festival events. The festival coordinator can work remotely for the majority of responsibilities, but will be required to be onsite occasionally in the planning phase and more consistently as events near.  Onsite presence is required on festival event days.  The position offers a total compensation stipend of up to $6,000. Housing may be available during certain periods of the contract term.
